Job Description


Issue outside maintenance purchase orders to Fleet Maintenance vendors, ensure equipment is repaired in a timely manner at a fair cost, and determine standard repair times for equipment repairs prior to payment authorization.


1. Review and research all repairs prior to authorizing as warranty candidate
2. Provide vendor support to Maintenance Managers and assist Maintenance Managers in educating vendors on Outside Maintenance Purchase Order process
3. Assist in monitoring and reducing maintenance costs by researching repairs prior to authorizing
4. Help maintain accurate out of service status information and ensure equipment is repaired timely
5. Determine appropriate repair cost with vendors based on industry standard repair times
6. Code all labor to the Outside Maintenance Purchase Orders form utilizing the American Trucking Associations Vehicle Maintenance Reporting Standard (VMRS) code keys; Code all parts using internal numbering system
7. Maintain accurate estimated amount vs. authorized invoice amounts
8. Respond to vendor requests in a timely manner
9. Settle disputed invoices
10. Identify and resolve Outside Maintenance Purchase Order challenges
11. Answer calls in a timely manner
12. Comply with all applicable laws/regulations, as well as company policies/procedures
13. Perform other duties as required

• High school diploma or equivalent
• Two years of directly related experience in fleet maintenance, parts and/or repair
• Knowledge of maintenance management systems software
• Knowledge of Standard Repair Times, preferred
• Familiarity with Motor Flat Rate Manual, preferred
• Good research, problem solving and negotiating skills
• Knowledge of American Trucking Associations Vehicle Maintenance Reporting Standard (VMRS) code keys, preferred
• Prior knowledge of warranty coverage, preferred
• Ability to multitask and work independently
• Basic knowledge of Microsoft Office
• Basic typing and ten-key skills
• Basic written and verbal communication skills
