To perform an advanced level of secretarial and administrative functions and other related clerical support activities for a corporate officer.
1. ADMINISTRATIVE SUPPORT
Monitor various administrative details for executive; take and transcribe dictation
from dictaphone and type assignments in final form; perform clerical functions
requiring knowledge of general business and office procedures including
maintaining follow-up files, assembling materials for reports and composing
letters; maintain adequate level of required office supplies and maintain up-to-date
technical and/or administrative manuals; initiate necessary paperwork, forms etc.
for daily office operations (e.g. requests for temporary personnel, purchase
requisitions, facility work orders, etc.); compose memos/letters for items such as
equipment repairs, unit schedules, etc.; ensure all approval and signature requests
are properly addressed in order to relieve supervisor of administrative details and
address needs in the most appropriate manner. Assist supervisor and team in coordination of special assignments as requested.
2. SCHEDULE MANAGEMENT
Manage and maintain supervisor's calendar and itinerary; schedule appointments;
coordinate arrangements for staff meetings, business travel, seminars etc. in order
to ensure that executive's agenda and itineraries are efficient and effective.
3. INTERNAL RELATIONS
Receive, date stamps and distribute department mail; establish and maintain
harmonious working relationships with superiors, co-workers and subordinates in
order to maintain an efficient work environment.
4. EXTERNAL RELATIONS
Receive and assist visitors and telephone callers and refer to officer or other
appropriate person as circumstances warrant; process, coordinate and follow up
with vendor accounting on bills received for payment and expense reports; liaise
and maintain relationships with vendors and suppliers; respond appropriately to
invitations and requests in order to maintain FedEx's public image.
5. RECORD MANAGEMENT
Maintain personnel data on unit employees including information regarding
vacations, absences, overtime etc. and maintain suspense files for executives in
order to ensure that all documents are proper.
6. RESEARCH AND REPORTING
Review various reports, such as budget variance and telephone logs, for accuracy,
advise supervisor of discrepancies; track projects from request stage through
distribution of final documents; utilize work processor, as required, to assist
management and department staff in development of output formats; gather,
research data and compile information for use in management reports in order to
ensure adequate and sufficient materials are provided for officer's use.
