Description

POSITION OVERVIEW: 
Perform an advanced level of office management and administrative duties for a Sr Vice President and officers as assigned, which involves high-level contacts and exposure to sensitive information necessitating considerable use of confidentiality, tact, diplomacy, discretion and judgement.

ESSENTIAL FUNCTIONS:

Relieve executives of various administrative details using initiative and judgement to ensure matters requiring attention are referred to delegated authority 

Sort, read and annotate incoming mail and determine routing and compose correspondence and reports for own or executive’s signature as directed and maintain follow-up as needed 

Receive and screen incoming calls.  Resolve issues and refer complex situations to appropriate level and circumstances warrant.  Initiate calls, return calls or forward messages as required.  Receive and assist visitors as necessary 

Maintain budget and expense account records, financial records and confidential files.  Initiate necessary paperwork, forms, etc. for daily office operations, e.g., invoices, purchase orders, facility work orders and related documents.  Organize and maintain files 

Process, coordinate and follow-up with accounting for invoices and expense reports.  Review various reports such as budget variance and department specific reports for accuracy and advise SVP of discrepancies 

Research and abstract information and supporting data in preparation for meetings, work projects and reports as required 

Make arrangements for and coordinate conference calls and meetings, schedule appointments, maintain calendar, arrange business itineraries and coordinate travel requirements 

Take action authorized during Officer's absence and use initiative and judgement to ensure matters requiring attention are referred to delegated authority or handled in a manner so as to minimize effect of executive’s absence 

Assist on initiatives and projects from an administrative support perspective as needed 

Comply with all applicable laws/regulations, as well as company policies/procedures 

Travel may be required

Perform other duties as required

QUALIFICATIONS

High school diploma/GED plus eight (8) years of progressive experience in an administrative position supporting executive management in a corporate business environment, depending on the functional area supported, additional knowledge, skills, abilities and experience may be required.

Highly proficient typing/keyboard skills; advanced proficiency using Microsoft office, including but not limited to Word, Excel and PowerPoint 

Excellent spelling, punctuation and grammar skills.

Strong time management, organizational, multi-tasking & interpersonal skills.

Excellent verbal & written skills; ability to manage confidential information. 

Ability to work independently and as a team member.
