Executive Assistant-Executive Vice President
Description
To perform office and administrative duties for the Executive Vice President which by nature of the superior's position involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment. This role needs to be highly adaptable, tech-savvy, and a proactive problem-solver. They act as a strategic partner to senior leadership, managing complex schedules across time zones, streamlining digital workflows, and handling sensitive information with discretion.
Essential Functions:
Performs diverse administrative functions for the executive vice president which, by nature of the superior's position, involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgement.
Proactively manages and prioritizes scheduling requests, including large scale meetings and travel.
Utilizes critical problem solving and good judgment in the process of providing professional support to an officer of the company.
Manage and maintain complex and dynamic calendars across multiple global time zones, resolving scheduling conflicts with tact and professionalism.
Oversee comprehensive domestic and international travel arrangements, including itineraries, visas, and accommodations, and manage all related expense reports.
Collaborate with other executive assistants and international teams to align activities and ensure seamless operations across departments.
Coordinate and plan off-site meetings, workshops, and large-scale company events, including managing all logistics and technology requirements.
Master a range of productivity and collaboration tools, including Microsoft 365 (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides), to manage documents and presentations.
Expertly use project management software (e.g., Asana, Trello, Monday.com), communication platforms (e.g., Slack, Microsoft Teams), and video conferencing tools (e.g., Zoom).
Advanced proficiency with office and collaboration software, with a strong aptitude for quickly learning new systems and platforms.
Proven ability to work independently and exercise sound judgment in a fast-paced, high-pressure, and ever-changing work environment.
Proactive, adaptable, and resourceful mindset, with a strong ability to anticipate needs and think several steps ahead.
By leveraging modern technology and anticipating needs, the executive assistant multiplies the executive's productivity and ensures seamless communication and collaboration, regardless of geographical location.
Minimum Education:
High school diploma/GED. CAP (Certified Administrative Professional) or one (1) year of related college courses strongly preferred.
Minimum Experience:
Significant amount (six (6) years minimum) of related business experience.
Knowledge, Skills, and Abilities:
Acumen for organization, filing, communication and suspense follow ups.
Ability to filter information to identify action items.
Ability to prepare, proofread and manage edits for communications and documents Discretion and Confidentiality
Ability to handle and sometimes distribute sensitive and complex information with professionalism and the utmost discretion.
Ability to work across departments and engage with leadership in an efficient and professional manner
Ability to develop internal and external relationships that lead to gaining trust. Excellent human relations and communications skills for interface with all levels of management.
Ability to compose correspondence for superior's signature.
Ability to collect and manage large amounts of information
Demonstrated Microsoft Office proficiency, good spelling, punctuation and basic grammar skills.
Strong PowerPoint skills, Excel skills and familiarity with Microsoft Teams.
Strong project management skills preferred.
Preferred Qualifications: Advanced software proficiency, strong communication skills, ability to anticipate needs of a fast-paced global leader, manage complex international logistics, coordinate cross-functional teams, and protect executive's time for high-level decision-making
