Legal Operations Director

POSITION OVERVIEW:
Lead, develop and transform business operations for the Legal function. Oversee professional support for the in-house Legal team, including attorneys, paralegals and other specialists. Lead the development of centralized knowledge, document and matter management systems for Legal. Lead financial and administrative management support for the Legal function. Contribute significantly to financial planning, operations and personnel administration. Orchestrate the standardization of legal documents and processes, where warranted, across the department.
ESSENTIAL JOB DUTIES/RESPONSIBILITIES:
1. Select, train, develop and motivate a staff of professionals
2. Plan, organize, direct and control the day-to-day operations of the department; develop and implement policies and programs as necessary
3. Define and maintain the Legal technology roadmap, identifying automation and opportunities for increased efficiency in business processes
• Serve as the Legal function’s primary liaison with IT for technology and application support
• Administers Legal’s technology programs and systems such as matter management, document management, e-billing, eDiscovery, contract management, legal research and knowledge management
• Coordinate research, evaluation, procurement, implementation and maintenance of technology programs and emerging technologies, including AI, for the legal environment
4. Help ensure effective management of the Legal function and promote process optimization, including using KPIs to ensure important metrics are on track for the team
• Provides forecasting, trending, monitoring, analysis, modeling, recommendation and auditing related to Legal operations
• Oversee operational management to maximize operational performance of department process and systems
5. Serve as the Legal division’s primary liaison with the company’s Finance and Accounting teams for budgeting and forecasting purposes
• Provide financial recommendations to the management team and support for the planning and implementation of vendors, including law firm initiatives, rate reviews and evaluations
• Oversee the coordination, preparation, submission and accuracy of the Legal budget including capital, non-capital and other legal expenses
• Lead the collection and communication of financial information and reporting within the Legal function, including the preparation of metrics, reports and dashboards relating to budget, spend and vendor utilization
• Provide forecasting, trending, monitoring, analysis, modeling, recommendation and audition related to the Legal function expenses
• Monitor vendor compliance with divisional internal control requirements
6. Manage complex projects where the Legal and Risk teams are project owners, including providing general project management, providing recommended actions to officers and directors, and driving cross-functional efforts to resolution for the Company
7. Oversee records and library management, office automation, information storage and retrieval, telecommunications and legal applications administration
8. Liaises with the facilities management department for space planning and design, equipment, purchasing, reprographics and records storage.
9. Coordinate the monitoring of state attorney licensing requirements and support internal CLE programs
10. Perform other duties as required
QUALIFICATIONS:
• Bachelor’s degree in legal, information technology, analytical science, engineering, project management or related field or equivalent experience
• Master’s degree in Business Administration or related field is preferred
• Eight (8) years’ experience in technology implementation/optimization and/or business operations, including a minimum of two (2) years working with legal departments
• Some financial management support experience preferred
• Technical skills including general knowledge of Legal technology programs and systems such as matter management, document management, e-billing, eDiscovery, contract management, legal research, and knowledge management
• Software skills, including use of Microsoft Office software and standard applications to support a legal department
• Strong verbal and written communication skills, necessary to communicate with all levels of management
• Interpersonal skills necessary to work professionally with all levels of the organization and build collaborative working relationships
• Presentation skills necessary to facilitate training and/or deliver informational sessions to groups and/or individuals
• Time management and organizational skills necessary to manage multiple projects, appropriately prioritize workload, plan for resources to meet deadlines and goals, and respond to day-to-day functional needs
• Ability to anticipate and identify problems and use sound judgment and fact-based analysis to develop effective and efficient solutions
• Ability to inspire a shared vision and empower and motivate a team
• Ability to provide tactical and strategic decision-making
• Knowledge of legal and other professional services organizations
