Involves providing professional and efficient advanced administrative support for one or more Managers or Senior Manager.
General job description:
Under limited guidance performs the following activities:
• Composes and types of letters, reports, emails and documents in final form using word processor and company system.
• In some instances, may be required to compose letters/memos/reports for Managers.
• Answers phone and takes accurate messages for Managers, receives date stamps and distributes department mail.
• Schedules appointments and maintains calendar for Managers.
• Coordinates staff meetings, business travel, seminars, etc. for all employees.
• Maintains personnel data on unit employees well organized and updated. (Vacation calendar, personnel files, expense reports, etc.).
• Responsible to order and maintain adequate level of offices supplies.
• Performs additional related administrative and clerical duties such as gathering and researching data for management reports, etc.
• May be required to perform other duties as assigned.
Minimum Requirements:
Minimum Education:
• High School Degree.
• Fluent in English and Spanish or Portuguese.
Minimum Experience:
• Four (4) years related secretarial experience including 2 years in an administrative support position.
Minimum Required Skills:
• Excellent communication skills (written/verbal).
• Good Human Relations Skills.
• Customer Service oriented.
• Multi-tasking abilities required.
• Demonstrated typing proficiency 40 WPM.
• Excellent spelling, grammar and punctuation.
• Ability to use a variety of office equipment (fax, email, copies, etc.).
• PC experience and ability to use Microsoft office software - Spreadsheet experience is a plus.
