Grade - 10

1. Statutory Compliance Administration

Ensure timely remittance of monthly payroll compliances contributions.
Manage new employee PF and ESIC registrations and exits through the portals
Monitor FORM11 and other provident fund related activities for all employees.
Handle compliance for international workers, as applicable.
Maintain and reconcile PF, ESIC, PT and LWF ledgers and ensure alignment with payroll data.
Monitor changes in central and state laws and evaluate impact on payroll processes.

2. Audits, Inspections & Liaison

Handle PF, ESIC, PT and LWF inspections, audits, and queries raised by the authorities.
Prepare and maintain supporting documentation and reconciliations for inspections or internal/external audits.
Liaise with the EPFO office, consultants, and internal stakeholders for issue resolution.
Visit PF office for coordination with PF officials for employee’s queries/issue resolution.

3. Transfers, Settlements & Claims

Check and action as appropriate on employees PF request through employer portal.
Track claim status and coordinate with EPFO for timely resolution of pending cases.
Provide support for employee grievance handling related to PF matters.
Prepare various documents such as Covering letters, FORM3A, FORM 5 and FORM10 etc for submission at PF office.

4. Record Keeping & Reporting

Maintain accurate payroll compliances records and employee-wise database.
Publish periodic compliance reports, dashboards, and reconciliations for management review.
Highlight discrepancies, risks, and propose corrective actions.

5. Process Improvement & Advisory

Work with HR, Payroll Processing, Finance, and Legal teams on compliance issues and process improvements.
Advise HR/payroll team on implications of statutory changes.
Drive automation and digital record-keeping to improve accuracy and efficiency.
The Payroll Compliance Specialist is responsible for ensuring end-to-end statutory compliance for payroll activities across India. The role ensures accurate and timely adherence to all statutory regulations, audits, filings, payments, and documentation as mandated under central and state laws. The incumbent will work closely with internal and external stakeholders such as payroll teams, auditors, consultants, and statutory authorities to maintain 100% compliance across all operating locations.
