Process & Systems Advisor – Customs Brokerage
Description
Responsible for defining and enhancing operational processes and implementing digital solutions to optimize efficiency and productivity across FedEx brokerage operations to achieve Operational Excellence goals. You will collaborate with various departments to analyze workflows, identify areas for improvement, and develop innovative solutions using the Americas brokerage operating system and other digital tools.
This role works across the North American Brokerage business working closely with operations end users and management and is the bridge between business and IT solutions teams in driving continuous improvement. The role is responsible for reengineering processes, monitoring metrics which drive performance, accordingly, assisting in the development of business models, operating scenarios, plans, procedures, processes, and compliance thereof and driving initiatives and value through sustained benefit realization through increase in revenue, enhanced customer service/satisfaction, compliance and cost reduction.
The primary responsibility of the Process & Systems Advisor is assisting in the development of end-to-end process standardization & process efficiency, including, documenting standards, IT modernization and innovation. The role is part of a regional Operational Excellence team which is responsible for driving continuous improvement initiatives in processes and systems inclusive of deployment of future state standardized and optimized processes, deployment of Americas brokerage operating system modules and driving ongoing continuous improvement.
- Works hand and hand with the Process and Systems Engineer to analyze customs brokerage processes and structure and partners with business to improve cost to serve and quality through identification and execution of improvement initiatives spanning operations, compliance, and digital experience.
- Supports Regionally the standardization and optimization of the North American brokerage processes and systems, in line with global standards, and local regulatory requirements.
- Assists in defining setup and ongoing optimization of the operating model through the implementation, configuration of business rules, workflows and controls within the North American brokerage processes and systems in close alignment with frontline Subject Matter Experts and Management.
- Works closely with operations, IT, and training to develop and implement FedEx Logistics brokerage system improvements and assess changes proposed by the end users to align solutions.
- Document, submit and discuss change request with the business at regional and global levels and with IT and key stakeholders to gain alignment.
- Conduct thorough analysis of business data and performance metrics to drive continuous improvement initiatives.
- Monitor and report on the effectiveness of implemented solutions, adjusting as necessary to achieve desired outcomes.
- Works with operations, IT, and other support groups to design and validate new reporting and report modification requests in the system to drive performance.
- Evaluate existing processes and workflows to identify inefficiencies and areas for improvement.
- Perform analysis, defining business requirements and assisting with project management and deployment of new IT solutions and/or IT enhancements into the branches.
- Provide clarification to end users regarding Process and Operational Systems, addressing specific queries, sharing best practices, and communicating changes and new developments.
- Works hand and hand with the Process and Systems Engineer and collaborates with Global Process and business to establish activity based engineered standards and implements controls to monitor productivity.
- Assess current levels of compliance to Operation processes and systems usage and enforce by providing specific coaching and defining actions (e.g., together with the sites) to close existent gaps including specific training, based on the end users’ needs, based on global training modules.
- Assists with defining and designing optimal use of the Americas brokerage operating system to support standard operating processes for the region.
- Assist with managing change through the application of change management tools and in collaboration with Change Management Practitioners.
- Collaborates with the Quality & Compliance team ensuring sustainability and continuous improvement and deployment of compliant solutions.
PRINCIPLE DUTIES, AND RESPONSIBILITIES
- Assists in the standardization and optimization of processes and system usage across the region through the review of current processes, able to identify opportunities for improvement and future state processes and systems changes.
- Staying up to date and informed on North America brokerage changes and industry trends and Americas brokerage operating system changes and innovative technology and solutions across competitors and providers.
- Contribute to the convergence and rationalization of local applications and processes to the strategic product portfolio and standardized operating model.
- Assist with developing business justification and benefit analysis / Business cases for improvement opportunities and drive initiatives through value realization.
- Analyses data to drive productivity and key performance metrics and promotes data driven assessment and decisions.
- Identifies automation opportunities and assists with process automation projects with business though requirements, analysis, build, configure, test, train and deploy.
- Responsible for change requests and business requirement definition to support improvements.
- Partner with others to create, coordinate and execute on test plans; this may include quality assurance testing (QA), user acceptance testing (UAT), and defect and issue tracking and prioritization.
- Support implementation of new features and training with deployment of core capabilities
- Handle multiple projects simultaneously, meeting deadlines.
- Develops or directs the development of regional and local desk level operating procedures and ensures best practice and changes are communicated, deployed successfully, and sustained.
- Drive and support the implementation of Business Process and systems initiatives as defined by Operational Excellence leadership and Business owners across the region.
- Facilitate regular Business Process workshops across the region supporting both leaders and end users to achieve operational excellence.
- Monitors data quality for the region and addresses data quality issues with support to operations
- Performs other duties as assigned.
Job Requirements:
- Bachelor’s degree/equivalent
- Minimum of (2) years experience in Americas customs brokerage
- Strong knowledge and proven experience in analysis and optimization of North American brokerage processes and systems
- (3) years professional experience
- Proficiency in data analysis and interpretation to drive informed decision-making.
- Excellent communication skills with the ability to collaborate effectively with cross-functional teams and maintain relationships with Front Line Management & employees as well as with regional and functional leadership.
- Analytical mindset with a focus on problem-solving and continuous improvement using data and systems.
- Ability to manage multiple projects simultaneously and meet deadlines in a fast-paced environment.

- In depth knowledge of the CargoWise system and CargoWise Professional certification preferred
- In depth knowledge MS-Office solutions: Excel, Visio, PowerPoint, Power BI
- QDM Expert certified and/or Green Belt (Six Sigma) certified preferred.
