What you will be doing:

JOB PURPOSE STATEMENT:

Provides comprehensive administrative/secretarial support for a Mgr with responsibility for a complex technical/regulatory environment.  Includes performing defined duties relating to purchasing, budget control, communications & status reporting.

Maintains Policies and Procedures, Standards and approved systems documentation in accordance with departmental requirements & in compliance with required levels for ISO & Internal Audit.

KEY  RESULT AREAS/ACCOUNTABILITIES:

  • Performs the timely and accurate maintenance of Policy & Procedures and Standards documentation in accordance with locally defined requirements & in compliance with defined ISO standards & requirements.   Co-ordinates the distribution of  documentation to relevant staff.

  • Administers each stage of the purchasing process. Includes creation of purchase orders, matching orders to appropriate invoices, performing defined procedural checks on the accuracy of invoices & performing appropriate research of anomalies through vendors & internal departments. Obtains appropriate approvals, forwards for payment & maintains accurate & maintains accurate records. May be required to audit and control facility and/or equipment maintenance schedules and/or voice/data communication line costs ensuring correct charge levels are being applied.

  • Performs defined procedural checks on assigned elements of the Budget Variance Reports and  of CLEAR expenditure. Researches anomalies identified and summarises for the Manager, including appropriate back-up data as needed.

  • Creates and maintains appropriate filing/information management systems to support the timely and accurate processing/retrieval & sharing of information. Includes the maintenance of technical documents, reference material and publications library. May be required to prepare and maintain developed systems documentation in accordance with locally defined requirements & in compliance with Internal Audit requirements.

  • Performs miscellaneous secretarial duties including the preparation of schematics, text and presentation material for manager and staff & collation & production of monthly  project status reports for the Manager and senior Management.

  • Co-ordinates meetings, administrators travel and vacation requests, absence and training records for staff etc.

  • Assists and supports the Manager in work group administration duties such as attending meetings, manpower planning, adherence to standards, or other functions as directed by the manager.

  • Liaises with related departments to co-ordinate actions needed including purchasing, CLER or budget preparation, user submitted Work Requests and provides appropriate feedback of status to relevant User.

  • Performs all other related support duties.

  • Experience in an administrative role including developing & using effective tools & processes to manage the storage & flow of information/documentation.
  • Good planning & organising skills with the ability to prioritise work and meet daily/weekly deadlines.
  • Experience of co-ordinating multiple activities & arrangements & maintaining progress through to satisfactory completion
  • Good p.c. skills, competent in the use of MS Office
  • Good analytical skills with experience of investigating & resolving routine problems.
  • Experience of collating complex qualitative & quantitative data and presenting it in clear and appropriate formats for different audiences
  • Quality oriented, accurate with attention to detail
  • Able to work effectively with only general direction.
  • Good standard of numeracy, able to accurately calculate, verify, record and track finance related costs.
  • Methodical, able to follow logical structured checks to ensure the accuracy & completeness of information Experience of compiling & updating ISO documentation or P& P manuals or similar.
