Description

To perform diverse administrative duties for corporate officer which involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.

Essential Functions

  • Performs diverse secretarial and administrative duties for corporate officer which, by nature of the superior's position, involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.
  • Perform other duties as assigned.

Additional Job Details:

Responsibilities include, but are not limited to:

  • Manage multiple calendars with shifting priorities and deadlines that include booking complex domestic/international travel, managing travel details and managing expenses.
  • Quickly and accurately assess the importance of a phone call, email, or document and take appropriate action to involve the appropriate parties.
  • Exhibit a high degree of judgment and discretion in handling confidential information and situations.
  • Compose correspondence and reports, compile presentation packages, and process letters and contracts requiring signatures
  • Manage conference/zoom call and meeting scheduling, including invitations and arrangements.
  • Manage physical and electronic filing systems.
  • Sort, read and annotate incoming mail and documents and attach appropriate file to facilitate necessary action; determine routing, signatures required, and maintain follow-up file.
  • Maintain familiarity with department's projects and priorities and coordinate and maintain effective office procedures and efficient workflow.
  • Track and monitor projects from request stage through distribution of final documents.
  • Research and gather information and supporting data in preparation for meetings, work projects and reports as required.
  • Take authorized action during the Sr. Vice Presidents’ absence and use initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner so as to minimize the effect of Vice President's absence.
  • Other duties as assigned

Skills/Knowledge Experience Considered A Plus:

  • Prior administrative or executive assistant experience is preferred, ideally supporting more than 2 Vice Presidents and/or Directors
  • Working knowledge of FedEx systems (ie Workday, Oracle Cloud Financials, People Soft, Concur Travel system, etc.)
  • High proficiency with MS Office tools (Outlook, Word, PowerPoint, Excel, SharePoint and Teams/Slack communications tools).
  • Experienced with managing multiple calendars, setting up business meetings, and remediating conflicting schedules.
  • Experience with audio visual/virtual applications for conferencing and meetings.
  • Excellent written and verbal communication skills with all levels of employees and management.
  • Strong excellent organization, time-management, and critical thinking skills.
  • Demonstrated ability to work well and manage stress under pressure, with minimal guidance is necessary

Minimum Education

  • High School diploma/GED.

Minimum Experience

  • Ten (10) years related business experience.

Knowledge, Skills, and Abilities

  • Excellent oral and written communication and interpersonal skills for successful interface with all levels of management and non-management.
  • Good spelling, punctuation, English language, administrative and organizational skills.
  • Ability to prioritize mail, telephone calls and compose correspondence for executive’s review and/or action.
  • Ability to plan, coordinate and execute meeting set-up and events, including providing agendas, detailed data, information and resources for executives.


Preferred Qualifications:  

Pay Transparency: This compensation range is provided as a reasonable estimate of the current starting salary range for this role across all potential locations. If this opportunity includes multiple job levels, the range is a reasonable estimate of the current starting salary for the lowest level to the current starting salary of the highest level. Actual starting pay would be determined by experience relative to the job, market level, pay at the location for this job and other job-related factors permitted by law. An employee may be eligible for additional pay, premiums, or bonus potential. The Company offers eligible employees health, vision and dental insurance, retirement, and tuition reimbursement.

Pay: US pay range: $4,124 to $5,577 monthly
