Talent Acquisition Support Administrator
Description
The Talent Acquisition Support Administrator serves as a key advisor and functional partner to the Talent Acquisition (TA) team. This role owns critical components of the recruiting lifecycle, including workforce planning facilitation, requisition management strategy, system oversight, and analytics reporting. The Specialist drives process improvements, ensures compliance, and collaborates across HR, Recruiting, and business leadership to optimize recruitment operations in alignment with organizational goals.
Key Responsibilities
Strategic Workforce Planning Support
• Guide HR Business Partners and hiring leaders through the requisition approval process.
• Analyze workforce trends and provide recommendations to ensure alignment with organizational staffing strategy.
• Own the documentation process for position approvals, ensuring audit readiness and process integrity.
• Collaborate with HR Business Partners, hiring managers, and approval authorities to ensure requisitions are properly documented and authorized.
• Develop and deliver c-suite level updates and approval requests regarding the talent acquisition life cycle.
Requisition Management & Allocation Strategy
• Oversee requisition flow and triage based on recruiter capacity, business need, and strategic priority.
• Serve as the primary point of contact for requisition assignments and recruiter alignment across functions and geographies.
• Advise recruiting leadership on workload balance and bottleneck prevention.
Recruiting Systems Leadership
• Manage configuration, workflows, and maintenance of the applicant tracking system (ATS) and integrated tools (e.g., Workday, Paradox).
• Lead system-related troubleshooting and partner with IT or vendors on escalations and enhancements.
• Ensure job posting strategy aligns with brand, compliance, and sourcing goals.
Data & Reporting Ownership
• Develop and maintain dashboards and reporting tools that track recruiting KPIs, aging metrics, pipeline health, and hiring velocity.
• Provide strategic insights and recommendations to Talent Acquisition leadership based on trend analysis.
• Support HR analytics initiatives by contributing recruiting-related data for cross-functional reporting.
Compliance & Operational Excellence
• Monitor recruiting process adherence to legal, policy, and documentation standards.
• Maintain centralized documentation for requisitions, approvals, and candidate decisions to ensure compliance and reduce risk.
• Identify and implement continuous improvement opportunities to streamline operations and elevate the candidate experience.
Cross-Functional Collaboration
• Serve as an operational consultant to recruiters, HR Business Partners, and business leaders.
• Support special initiatives such as new technology rollouts, policy updates, or organizational restructures.
• Assist with onboarding readiness, background checks, and pre-hire document workflows as needed.
Qualifications Required:
• Preferred Bachelor’s degree in Human Resources, Business Administration, or related field
• 3+ years of experience in recruiting operations, HR systems, or workforce planning
• Demonstrated experience in process ownership, reporting, and decision support
• Proficient in Workday, Paradox or comparable ATS platforms
• Advanced Microsoft Excel skills (e.g., pivot tables, vLOOKUPs, charts)
• Strong interpersonal, problem-solving, and consultative communication skills
Preferred:
• Experience supporting high-volume or enterprise-level recruiting teams
• Familiarity with recruitment marketing platforms, CRMs, or automation tools (e.g., Paradox, Phenom, HireVue)
• Working knowledge of EEO, OFCCP, and other regulatory compliance requirements
• Exposure to lean, agile, or continuous improvement methodologies
Preferred Qualifications: Position will be variable remote, and can be located in Memphis, Tennessee or Indianapolis, Indiana.
