Opis

We are looking for a reliable and detail-oriented People Operations Specialist II to join our team in Poland. In this role, you will support the day-to-day HR operations, payroll processes, and office administration, helping ensure that everything runs smoothly and efficiently.

What You’ll be doing: 
 

People Operations & Employee Experience

  • Act as a primary HR contact for Poland-based employees, providing day-to-day support and handling queries via HR mailbox and direct communication;

  • Support onboarding and offboarding processes, including documentation, HR orientations, and exit procedures;

  • Ensure compliance with Polish labor law and internal policies;

  • Maintain strict confidentiality and GDPR standards.
     

Payroll Support & HR Administration

  • Maintain accurate employee records and personnel files in compliance with Polish labor law;

  • Prepare employment contracts, annexes, and HR documentation;

  • Act as the main point of contact for payroll vendors;

  • Prepare and validate monthly payroll data (absences, variable elements);

  • Manage time-off tracking and reporting across multiple leave types;

  • Administer employee benefits (private healthcare, life insurance, sports cards, lunch allowances);

  • Coordinate tuition assistance program processes.
     

Office Management

  • Oversee office administration, vendor coordination, and workplace operations.

  • Manage relationships with external service providers (landlord, suppliers, cleaning services, etc.).

  • Ensure compliance with Occupational Health & Safety requirements (including Fire Safety Coordinator role).

  • Manage office access, seating arrangements, and workspace logistics.

  • Coordinate company events, internal initiatives, and employee engagement activities.

What we're looking for: 

  • Bachelor's degree in HR/administration and/or equivalent formal training or work experience;

  • +3 years of proven experience in HR operations, payroll support, office management, or a similar role;

  • Knowledge of Polish labor law and HR administrative processes;

  • Strong organizational skills and attention to detail;

  • Ability to manage multiple priorities in a fast-paced environment;

  • Excellent communication and interpersonal skills;

  • High level of discretion and ability to handle confidential information;

  • Experience working with external vendors and service providers;

  • Fluency in Polish and English.
